WINBACK

The clients who quietly stopped coming are worth more than the ones you have not met

Most owners have never counted them. Export your client list, sort by last visit, and the number is usually in the hundreds. Winback works that list properly, at full price, and a human answers every reply.

Talk to us about your list

What happened when we ran it

The salon had 549 lapsed clients sitting in their booking system. Not angry ex-customers. People who had been in before, liked it enough to come back at least once, and then life got in the way.

It was their biggest revenue month of the year, 23% above their average. Nothing was discounted. Not one booking. The list was not the problem and the price was not the problem. Nobody had ever asked them properly.

How it actually runs

Five steps. You do the first conversation and then approve the messages. We do the rest.

  1. 1

We pull your client list and find the gaps

Every booking system holds the same buried asset: people who used to come in and quietly stopped. We export it, work out each person's normal booking rhythm, and find who is overdue against their own pattern, not against an arbitrary cut-off.

  2. 2

Messages get segmented by what they actually booked

A colour client who came every eight weeks needs a different message from someone who tried you once and never returned. Same for a VIP who has been in twenty times. Generic blasts are why most reactivation fails, so we do not send one.

  3. 3

A second round goes to everyone who did not reply

One message never catches everyone. People are at work, mid-job, or they read it and forgot. The follow-up round consistently pulls a meaningful share of the total, and skipping it leaves money on the table.

  4. 4

    A human answers every reply

This is the part that gets skipped, and it is the part that books the job. Replies come back messy: questions about price, requests for a specific stylist or tech, complaints from a bad last visit. A person reads each one, books what can be booked, and escalates what needs you.

  5. 5

Then a fresh sweep every month

The backlog sweep is one time, because you only have one backlog. After that, clients keep lapsing quietly. The monthly sweep catches them at the point they are drifting rather than a year later.

Who this works best for

Winback needs two things: clients who book on a repeat rhythm, and enough history in your system to see that rhythm. If people come to you once every few years, it is the wrong program and we will say so.

  • Nails, brows and lashes
  • Dog grooming
  • Massage and day spas
  • Skin and med-spa clinics

What it costs

A fixed quote, given on the call once we have seen the size and state of your list. Most people start with a small paid pilot on part of the list, so you can see real bookings before committing to the full sweep. No lock-in dressed up as a trial, and we will tell you if your list is not worth running.

Questions people ask

Our booking software already does win-backs, so why pay for this?

Because you have probably already run it and it did not work. The salon we ran this for had their booking platform send 86 automated emails to lapsed clients. It produced zero bookings. Built-in tools send one generic message to everyone on the same list, land in the promotions tab, and nobody answers the replies. The difference is segmentation by service history, a real follow-up round, and a human handling every response.

Do we have to discount to get people back?

No, and we would rather you did not. Every booking in that salon result came at full price, zero discounts. A discount teaches your best clients to wait for the next one, and it drags your margin down on the people who would have booked anyway. Lapsed clients usually have not left over price. They just drifted.

What if our client data is messy?

It usually is, and that is fine. Missing mobiles, duplicate records, people who moved away. We clean what we can and work with what is usable. If your list is too thin or too old to be worth running, we will tell you that on the call rather than take the work.

Will this annoy our clients?

These are people who chose you before. The tone is a check-in from a business they know, not a promotion, and anyone who asks to be left alone is removed immediately and permanently. We would rather lose a name off the list than have you wear a bad reaction.

How do we know it actually worked?

You get attribution against the list we messaged: who came back, what they booked, what it was worth. Not a vanity open rate. That is also how we decide together whether the monthly sweep is worth continuing.
